Open: Stock Control > Enter Transactions > Adjustments > Write Off Stock

How to

Write off stock

  1. Choose the stock item.
  2. Choose the Warehouse and Bin (if using) that the stock is stored in.

    You can only select the bin if this item is stored in more than one bin at this warehouse.

  3. Enter the Quantity of items that you want to write off.
  4. Enter the date.
  5. Choose a Write off category, if you're using more than one.
  6. Enter any references if required.
  7. If you want to set analysis codes to help identify this in the movement history, do this on the Analysis tab.

Check your stocking levels

The stocking levels for the item are shown on the Stocking Levels tab. Use this to check the minimum and maximum number of stock items you usually keep in this warehouse or bin.

If the amount of stock you're writing off makes the stocking fall below the minimum stocking level, the quantity will be highlighted in yellow as a warning, but you can still continue to write it off.

Set up write off categories

If you want to record why stock is being written off, you can do this by creating additional write off categories. Once created, you can select the appropriate one from the Write Off Category drop-down list. This code then shows on the stock history.

Open: Settings > Stock Control > Stock Control Settings | Write Off Categories.

When to use this

Use this when you need to write off some stock and account for this a loss, such as when stock is damaged or obsolete.


Fix it

Why is the quantity highlighted yellow?

This is just to warn you that:

  • You're writing off more stock than you currently have stored at this warehouse. If you continue with the write off, the stock level will become negative.
  • Writing off this quantity will make the stock level fall below the minimum set for this warehouse.

What happens when

Stock is written off?

  1. The stock level is reduced by the amount you're writing off.

  2. The stock history is updated with movement type of Out -Write Off.
